This policy explains what personal information Fresh Flow Aircon Care collects when you enquire about or book a clean, how we use it, and how you can access or correct it.

1. Who we are
Fresh Flow Aircon Care ("Fresh Flow", "we", "us"), ABN 33 431 449 060, provides split-system air-conditioner cleaning across Bendigo and surrounding suburbs. We are committed to handling personal information in line with the Australian Privacy Principles set out in the Privacy Act 1988 (Cth).
This policy applies to our website and to the enquiries, booking requests and services we provide through it.
2. What we collect
We only collect information we need to quote, schedule and carry out a clean:
- Contact details — your name, phone number and email address.
- Service details — the service address, the number and type of units, your preferred date and any notes you give us about the system.
- Job records — what work was completed, the date attended and payment status.
- Photographs of the equipment — before-and-after photos of the unit we clean, where useful for the job record.
- Correspondence — the calls, messages and emails exchanged with you.
We do not collect sensitive information, and we do not ask for payment card details through this website.
3. How we collect it
Almost always directly from you — when you submit our online booking request form, call or text us, email us, or speak with our team at the job. Our booking form is hosted by Airtable, so information you enter there is submitted to and stored on Airtable's platform on our behalf.
4. Why we use it
- To respond to your enquiry and confirm availability.
- To quote, schedule and attend the clean, and to contact you about the appointment.
- To issue invoices and keep the business records we are required to keep.
- To follow up on service issues, warranty questions or your feedback.
We do not sell or rent your personal information, and we do not add you to a marketing list without your consent. If we ever ask to use a photo of your unit in our own marketing, we will ask you first and no identifying details will be shown.
5. Who we share it with
We share personal information only where it is necessary to run the business:
- Service providers who host our booking form, website, email and accounting records, under their own privacy obligations.
- Our own team members attending your job.
- Where we are required or authorised to do so by law.
Some of these providers store data on servers outside Australia. We take reasonable steps to ensure any overseas recipient handles your information in a way consistent with the Australian Privacy Principles.
6. Cookies and website data
This website does not use advertising cookies or tracking pixels. Our host may keep standard server logs (such as IP address, browser type and pages requested) for security and reliability, and our booking form provider may set cookies needed for the form to work. You can block or clear cookies in your browser at any time.
7. Storing, keeping and deleting information
We take reasonable steps to protect personal information from misuse, loss and unauthorised access — including password-protected accounts, limiting access to the people who need it, and using reputable hosted services.
We keep booking and job records for as long as we need them for the service and for the period required by tax and business record-keeping law, then destroy or de-identify them.
8. Accessing or correcting your information
You can ask us for a copy of the personal information we hold about you, ask us to correct it, or ask us to delete it where we are not required to keep it. Contact us using the details below and we will respond within a reasonable time. We may need to confirm your identity first.
